Legal Documents Template for AI File Renaming

This template names legal documents by matter number, document date, type, and party — so a sorted folder reads as the chronology of the engagement. It handles court-stamped filings, counterparty drafts, and the scanner’s Scan_0042.pdf alike.

Version markers (v01, executed, as-filed) are best managed at draft time; the template’s job is intake — naming what arrives.

  1. Choose your confidentiality posture first: Offline AI mode keeps analysis fully local; BYOK routes it through the firm’s own provider account.
  2. Create a Template named “Legal Intake”.
  3. Add a Custom AI Block for the matter number: “the matter or case number, formatted YYYY-NNNN; leave empty if absent”.
  4. Add Detected Date (YYYY-MM-DD), a Custom AI Block for document type (“Complaint, Answer, Motion, Order, NDA, MSA, Engagement Letter, Correspondence, Memo, Exhibit”), and one for the party.
  5. Test on a copied batch of mixed intake — a filing, a draft from counsel, a scan — and review the preview.
  6. Assign the Template to folder monitoring on the e-filing download folder and the scanner output folder.
