1. Start with one normalized property address

Use the date shown on the document: execution date for a signed agreement, report date for an inspection, issue date for a title commitment, or effective date for a disclosure. The moment someone downloaded the PDF does not describe the transaction.
Write dates as YYYY-MM-DD. That format sorts chronologically in Finder, File Explorer, Dropbox, OneDrive, and most transaction exports without depending on regional date settings.
3. Keep document types controlled

5. Make status factual
Use status labels that describe what happened:
