Build an invoice filename you can verify

Zush suggests invoice filenames from the document date, vendor, and invoice number. Use the printed invoice date rather than the download date, keep the invoice number as issued, and review each field before applying the batch.

  1. Copy a small sample of digital PDFs and scans into an intake folder. In Templates, combine Detected Date, Vendor, and Invoice Number; add Amount only if it helps your filing workflow.
  2. Compare the preview with each invoice. Check invoice date versus due date, supplier versus customer, and total versus tax. Correct uncertain fields and keep missing numbers out of the name.
  3. Apply the reviewed names and test rename history. Assign the Template to folder monitoring only after checking a sample of new arrivals, including credit notes and invoices without numbers.

Can I set my own invoice naming convention?

Yes. Combine Naming Blocks — vendor, date, invoice number, amount, and your own Custom AI Blocks — into a template so every invoice follows the same pattern. You can reorder blocks, choose separators, and set the case style once and reuse it everywhere.

Can invoices be renamed automatically when they arrive?

Yes. Point folder monitoring at your Downloads folder and new invoice PDFs are named by content as they land, using your invoice template. Every change stays in rename history so you can undo any batch.

Is it private? These are financial documents.
